Privacy Policy

1. Who we are

Clearpath AI, LLC (“Clearpath,” “we”) provides bookkeeping automation: connecting bank and credit-card accounts, organizing transaction data, and preparing categorized entries for accounting systems such as QuickBooks. Contact: John Hersey, johnhersey11@gmail.com.

2. What we collect

When you connect a financial account through Plaid Link, we receive transaction data for that account (dates, amounts, merchant descriptions), account metadata (institution, account type, masked account number), and a revocable access token issued by Plaid. We never see or store your banking username or password — authentication happens directly between you, your bank, and Plaid. If you import files (statements or exports), we process the transaction data they contain.

3. How we use it

Your financial data is used solely to provide bookkeeping services to you: normalizing, categorizing, and reconciling transactions, and preparing entries for your accounting system. We do not sell your data, share it with third parties for their own purposes, use it for advertising, or use it to train models beyond serving your account.

4. Third parties

We use Plaid Inc. to connect financial accounts; Plaid's handling of your data is governed by its own privacy policy (plaid.com/legal). Data may be loaded, at your direction, into your accounting system (e.g., QuickBooks). No other third parties receive your financial data.

5. Storage & security

Financial data is stored on encrypted volumes with access restricted to authorized personnel protected by multi-factor authentication. All data in transit uses TLS 1.2 or better. Access tokens are stored in protected configuration, never in code. Our full practices are documented in our Information Security Policy.

6. Retention & deletion

We retain your financial data only while it serves your active bookkeeping engagement, and no longer than 7 years, consistent with bookkeeping and tax-records practice. At your request or at the end of an engagement, we delete your data and revoke the associated Plaid connection (via Plaid's item removal, which invalidates the token at the source) within 30 days. You may also revoke Plaid's connection to your bank at any time through your bank or Plaid's tools.

7. Your choices & rights

You may disconnect any linked account, request a copy of the data we hold about you, or request deletion, by contacting us at the address above. Where applicable state privacy laws grant additional rights, we honor them.

8. Changes

We will post any material changes to this policy on this page and update the effective date.
